How we use and protect your information
1. Who is responsible

2. Information we collect
We may collect your name, contact details, address or postcode, property and access information, service priorities, quotation and booking records, payment records, communications, complaint or claim information, and photographs supplied for quotation, condition, safety or service records. Please provide practical requirements only and do not send medical diagnoses.
3. Where it comes from
Information normally comes directly from you through this website, email, phone, WhatsApp, social media or a referral platform such as MyBuilder. It may also come from someone acting with your authority or from service and payment records created while handling your job.
4. Why we use it
We use information to answer enquiries, prepare quotations, arrange and deliver services, take payments, keep business and tax records, protect people and property, handle complaints and claims, improve our operations and meet legal duties. Our lawful bases may be steps before a contract, performance of a contract, legal obligation, legitimate interests and consent where it is specifically requested.
We do not make decisions with legal or similarly significant effects using solely automated processing.
5. Photographs
Photographs submitted with a quote request are operational: they help assess scope, condition, access and safety. This does not give permission to use them for marketing. Any marketing use requires separate, optional consent that is never pre-ticked, and refusing it will not affect your service.
6. Sharing
We share information only where reasonably necessary with providers that support the service, such as Microsoft Outlook, WhatsApp/Meta, Google, MyBuilder, Monzo, Apple or Microsoft cloud services, the website and file-storage provider, insurers, professional advisers and public authorities where legally required. Resend is used to deliver a minimal owner alert when a quote request arrives. The alert contains the generated reference, submission time, photograph count and a secure owner link; customer contact details, service priorities and photographs are not included. Some providers may process information outside the UK using recognised safeguards.
7. Retention
- Unsuccessful enquiry records: usually up to 12 months.
- Quote photographs where no booking follows: normally deleted within 90 days after the quote expires.
- Routine job photographs: normally retained for 90 days after completion unless needed longer for a concern.
- Contract, core business and tax records: generally five or six years as required.
- Complaint or claim records: as long as necessary, potentially up to six years.
- Marketing consent records: reviewed at least every 24 months.
8. Security
We use proportionate safeguards including controlled access, device encryption, multi-factor authentication where available, careful sharing and deletion, and protected backups. No internet service can be guaranteed completely secure, but we take reasonable steps to protect information.
9. Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or objection, and you may withdraw consent without affecting earlier lawful use. Contact us using the details above. You may also complain to the UK Information Commissioner’s Office at ico.org.uk.
